An appointment scheduler for labs and clinics, built for Diflexmo
Mindrops built a multi-tenant appointment scheduler for Diflexmo, an IT company in Belgium that builds software for labs and clinics. The scheduler offers a patient a slot only when the exam, the radiologist, the staff, the room and machine and the practice’s calendar all line up. Mindrops also worked on Diflexmo’s template manager and client portal.

Labs and clinics book exams that need the right specialist, the right staff and the right room and machine, and each exam takes a different amount of time. Diflexmo wanted one scheduling product that practices could use for patient self-booking and for running their day. Mindrops designed and built the scheduler’s web app and backend for Diflexmo, then kept extending it, and also worked on two more Diflexmo products.
The challenge
A slot that looks free on a calendar is not always a slot a lab can actually use.
Before a patient can book an exam, several things have to be true at once: the exam type and the body part decide how long it takes, a radiologist and enough nurses or assistants must be available, the right room and machine must be free and not out of service, and the practice must be open on that day. Patients also needed to book, change and cancel on their own, while staff needed to override the schedule when real life got in the way. Getting all of these rules to agree, for many practices on one platform, was the hard part of the project.
The solution
Mindrops built a scheduling engine that checks every rule before it shows a slot, with a patient booking flow and a staff calendar around it.
Slot engine
A slot is offered only when the exam and its duration, radiologist and staff availability, the room and machine, buffer time between patients, working hours and public holidays all line up. Machines out for a breakdown or maintenance are left out.
Body and skeleton picker
Patients choose the body part to be examined on an interactive human body and skeleton, which sets the exam and the time it needs.
Patient self-booking
Patients see only slots that really work, then book, change or cancel online, with preparation instructions, appointment history and two-factor login, on a phone, tablet or desktop.
Staff calendar
Admins and receptionists work in a day, week and month calendar: they book for patients, shorten, extend, approve or override appointments, and set priority slots and absences.
Warnings and notifications
Staff are warned when an absence or a public holiday affects existing bookings, and patients get email and SMS confirmations, reminders and change notices.
Sign-in and integrations
Azure single sign-on for staff, links to Google and Office 365 calendars, real-time updates over SignalR and charts of exam requests for admins.
Project scope
Mindrops worked across three Diflexmo products, with the scheduler at the centre.
Scheduler design and build
UI/UX in Material design following Diflexmo’s style guide, the Angular web app, REST APIs in C# and .NET Core and the MySQL database, delivered for multiple tenants.
Scheduler enhancements
A new calendar interface, faster appointment APIs, real-time connections over WebSockets, cases with multiple documents, editable user roles and a separate card for each exam in a multi-exam appointment.
Template manager
Backend unit tests and full project documentation for Diflexmo’s template manager.
Client portal
Project setup, the complete user interface, fixes to the CI pipeline and a dark theme for Diflexmo’s client portal.
Technologies used
An Angular front end on a .NET Core backend, built for many practices on one platform and kept in sync in real time.
